Overview
The Product Manager is the list of every product in your store, and the place you work from day to day.
From here you can:
- Find products with the filter, and save the combinations you use often
- See stock, classification and status at a glance
- Create a product, edit one, or open it on your website
- Act on many products at once — publish, reclassify, reprice, export
Understanding the List
Each row is one product. Click a column heading to sort the list by it.

| Stock | Stock on hand for the product. |
| Classification | The categories and collections the product belongs to. |
| Status | Whether the product is published. |
| Create On | The date the product was created. |
| Last Update | The date the product was last changed. |
| Actions | Edit the product, and the shortcut menu described below. |
Finding a Product
Use the Filter to narrow the list. Filters combine, so you can ask for unpublished products in one collection created between two dates.
Each filter you apply is shown as a tag above the list. Click the × on a tag to remove that one filter.

| SKU begins with | Products whose SKU starts with what you type. Useful when your SKUs share a prefix per range. |
| Classification is / Classification is not | Products in, or not in, the categories and collections you select. |
| Created Date Between / And | Products created within a date range. |
| Status is | Published, Unpublished, or all statuses. |
| Type is | The product type. Appears when your store has more than one. |
Depending on the features your store uses, you may also see:

| QuickBooks Status / Xero Status | Your store is connected to QuickBooks or Xero. |
There is also a filter for products that have a sale price configured, which is the quickest way to review everything currently on promotion.
Saving a Custom List
When you have a filter combination you will use again, save it. It becomes a tab above the list, so the same view is one click away next time.
- Apply the filters you want.
- Click Save Filter.
- Give the list a name.
- Click Save.
Once you are working inside a saved list, three more actions appear:

| Update Filter | Saves the changes you have just made to the saved list. Appears only after you change its filters. |
| Delete Filter | Removes the saved list. The products themselves are not affected. |
| Reset Filter | Clears the filters currently applied and returns to the full list. |
Saved lists are personal to your own admin login, so you can keep the views that suit your job without changing anyone else’s.
Creating a Product
- Click New Product at the top right.
If your store sells more than one type of product, you get one button per type — for example New Product and New Kit. Choose the type you want to create.

Editing a Product
- Click the pencil icon on the row to open the product for editing.
- Click the vertical three-dot icon for shortcuts to that product, including View, which opens the product page on your website as a shopper sees it.
The shortcuts in that menu depend on the features your store uses, so a store with POS, marketplace sync or size charts will have more of them.
Bulk Actions
Bulk actions apply to many products at once.
- Tick the products you want, or the checkbox in the header row to take the whole list.
- Choose the action.
Filter first, then select. It is faster and safer than picking rows by hand, because the selection matches exactly what you filtered for.
Publishing

| Unpublish the products and remove them from the display sequence | Hides the products and takes them out of any manual product ordering. |
| Unpublish but keep the products in display sequence | Hides the products but keeps their position, so they return to the same place when republished. |
| Set Publish Schedule / Set Unpublish Schedule | Publishes or hides the products automatically at a date you choose. Available when scheduling is enabled. |
| Publish to POS / Unpublish from POS | Makes the products available, or unavailable, at your outlets. Available when your store uses Shopcada POS. |
Organising

Exporting and Removing

| Download for label printing | Produces a file for printing barcode or price labels. |
| Export to CSV | Exports the selected products to a spreadsheet. |
| Delete | Deletes the selected products. This cannot be undone. |
If your store syncs to a marketplace, that marketplace adds its own actions here as well — for example syncing inventory to Shopee for the products you selected.
Tips
Working Faster
- Save the filters you use weekly as custom lists — unpublished products, a season’s collection, items out of stock at one outlet.
- Filter before using a bulk action, so the selection is exactly the set you meant.
- Use SKU begins with when your SKUs share a prefix per range. It is the fastest way to pull one product family.
Before You Bulk Delete
- Deleting cannot be undone. Export the selection to CSV first if there is any doubt.
- To take a product off sale but keep its history and its place, unpublish it instead of deleting it.
What You See May Differ
Filters, row shortcuts and bulk actions all depend on the features your store uses. POS, inventory locations, marketplace sync, scheduling and accounting integrations each add their own, so your Product Manager may offer more than another store’s.
